Refunds & cancellations

This policy covers paid desk reviews and sessions offered by AI Cognitive: Wallet Allocation Reviews, DeFi Yield Assessments, and Portfolio Structure Sessions. It does not cover third-party software store purchases (including Microsoft Store) or services we do not sell.
Eligibility
Refund requests must come from the person or entity that paid the invoice for a specific engagement. Contact contact@ai-cognitive.digital or +82 2-2188-2200 with your invoice reference.
Timeframe
Request cancellations or refunds as soon as you know your plans changed. We assess requests based on how much desk work has already started.
Deposits
A 30% deposit confirms a review slot. Deposits are refundable in full if you cancel at least five business days before the agreed start date and we have not begun inventory work. Inside five business days, deposits are non-refundable unless we cancel.
Full refunds
You may receive a full refund of amounts paid when:
- We cancel the engagement for our own scheduling reasons
- We determine after scoping that we cannot deliver within the stated service boundaries and no substitute date is agreed
- You cancel before desk inventory begins and outside the deposit window rules above (prepaid structure sessions: full refund if cancelled at least three business days before the session)
Partial refunds
If inventory or memo drafting has begun and you cancel, we may refund the unused portion after deducting desk time already spent, billed at a proportional share of the agreed fee. Minimum deduction is 25% of the engagement fee once inventory has started.
Non-refundable items
- Completed deliverables (delivered memos, completed walkthroughs, completed structure sessions)
- Deposits inside the non-refundable window described above
- Time spent on materials you later withdraw that already required substantial reading
Work already started
Once we have begun mapping wallets or drafting the memo, cancellation converts to a partial-refund assessment. Materials already shared may be deleted on request after the commercial close-out.
No-shows & rescheduling
Missing a scheduled walkthrough or structure session without at least 24 hours’ notice may forfeit that session portion of the fee. We allow one reschedule per engagement when notice is given at least 24 hours ahead, subject to desk availability.
Refund method & timing
Approved refunds return to the original payment method within ten business days of approval. Bank processing times may add several days.
Exceptions
Force majeure events (prolonged office closure, major connectivity failure on our side) may extend timelines; fees are not automatically forfeited. Digital-asset market moves after delivery are not grounds for a refund.
